Timesheets

The Department of Mechanical Engineering utilizes an online timesheet through the University of Maryland Payroll and Human Resources (PHR) system. Faculty, staff and students must enter their time through this system in order to track time worked and leave used (if eligible).

Student & Contractual Hourly Employee

As a student or contractual hourly employee you will be required to complete your timesheet with hours worked with In and Out times.

Below are the instructions for completing your timesheet.

  1. In your web browser, go to www.timesheets.umd.edu. You will see the following page.
         
  2. Click on Complete Your Time/Leave Record under the Employees section and you will be presented with a login screen. Using your Directory ID and password login to your timesheet. For some employees that use Directory ID services frequently, you may have automatically been taken to the next step.
  3. At this point you will be presented with your timesheet or a screen that has multiple appointments. If you are presented multiple appointments, click on the internal id that is appropriate for the timesheet you wish to enter. Once you click on the internal id you will be taken to your timesheet. Example below.
  4. You will now enter your time on the appropriate day they you have worked. Keep in mind to change AM and PM as needed. Not changing these as needed will result in incorrect hours being recorded. Example below of 8:00 hours recorded with 30 minute lunch.
  5. If you worked on the same day but at different times, you will want to add a time slice to record additional time by clicking on the Add a time slice button. This will open up another row within the timesheet to record your additional hours
  6. Once you have recorded your time you will click on Save Time Entered/Notes to save your recorded hours.
  7. After you have entered your time for the two week pay period, you will need to submit your timesheet to your supervisor for approval. Click on Save Time Entered & Final Employee Signoff to send your timesheet to your supervisor.

Important things to remember in regards to your timesheet:

  • You must submit and your supervisor must approve your timesheet in order to receive payment.
  • Hourly timesheets are one pay period behind on payment. It could take 2 -3 weeks before your first payment is received. For assistance on when your first check will be, please contact us at mehr@umd.edu.
  • To view your bi-weekly earnings statement go to www.timesheets.umd.edu and click on View/Print Bi-Weekly Earnings Statement. The Department of Mechanical Engineering Payroll and Human Resources office is unable to print these for you.

Faculty & Exempt Staff

As a faculty or exempt staff employee you will be required to complete your timesheet with duty days or enter leave time.

  • Duty days consist of checkboxes      and represent a day worked.
  • Leave time (if eligible) can be annual leave, sick leave and personal leave. Other type of leave is available to the employee by utilizing the Select Additional Leave Codes dropdown box. When entering leave, you can use any amount of time you wish as long as it does not exceed your calculated hours you should work per day.

Below are the instructions for completing your timesheet.

  1. In your web browser, go to www.timesheet.umd.edu. You will see the following page.
  2. Click on Complete Your Time/Leave Record under the Employees section and you will be presented with a login screen. Using your Directory ID and password, login to your timesheet.   3. At this point you will be presented with your timesheet or a screen that has multiple appointments.   4. You will now check the duty day checkbox on the appropriate day that you have worked or enter leave time for the day.  It is possible to have the duty day checked and have leave time entered.
  5. Once you have recorded your duty days or leave, you will click on Save Time Entered/Notes to save your recorded hours.
  6. After you have entered your duty days or leave for the two week pay period, you will need to submit your timesheet to your supervisor for approval. Click on Save Time Entered & Final Employee Signoff to send your timesheet to your supervisor.

  • All faculty and staff need to record leave as it is used.
  • Employee must seek supervisor approval prior to annual leave and personal leave.
  • Leave balances may be checked by going to the Leave Balance/Summary at the bottom of the timesheet
  • Supervisors must approve timesheets each pay period as employees submit.
  • To view your bi-weekly earnings statement go to www.timesheet.umd.edu and click on View/Print Bi-Weekly Earnings Statement. The Department of Mechanical Engineering Payroll and Human Resources office is NOT able to print these for you.

Non-Exempt Staff

As a non-exempt employee you will be required to complete your timesheet with hours worked with In and Out times and enter leave (if eligible) as appropriate. Keep in mind certain leave requests such as annual and personal must go through your supervisor for prior approval before taking off.

  2. Click on Complete Your Time/Leave Record under the Employees section and you will be presented with a login screen. Using your Directory ID and password login to your timesheet. For some employees that use Directory ID services frequently, you may have automatically been taken to the next step.
  3. At this point you will be presented with your timesheet or a screen that has multiple appointments.   5. It is also possible to record In and Out times as well as leave. Example: You may work 6 hours in a day and in addition may have a doctors appointment that covers 2 hours. In this example you would record 6 hours of time worked and 2 hours of sick leave. Be sure to notify your supervisor of any leave that needs prior approval.
  6. The same process for recording leave will also be used to record any Comp Time used or any unpaid leave.
  7. Next, if you worked on the same day but at different times you will want to add a time slice to record additional time by clicking on the Add a time slice button. This will open up another row within the timesheet to record your additional hours
